Privacy Policy
Last updated: February 2025
Sendit (“we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share information when you use the Sendit consumer app, Sendit Rider app, or Sendit Vendor app (together, the “Services”). By using our Services, you consent to the practices described in this policy.
1. Information We Collect (All Apps)
We collect information you provide directly, information from your device and use of the app, and information from third parties where relevant.
- Account and profile: Phone number, name, email (where provided), profile photo, and other details you give when registering or updating your profile.
- Device and app usage: Device type, operating system, unique identifiers, app version, and general usage data (e.g. screens viewed, actions taken) to improve the Services and troubleshoot issues.
- Communications: Records of support requests, feedback, and correspondence with us.
2. Sendit Consumer App – Additional Data
When you use the Sendit consumer app (ordering food, sending parcels, shopping, booking events), we may also collect and use:
- Location: Your location when you allow it, to set pickup and delivery addresses on the map, calculate distance and time estimates, and show your position to the rider during an active delivery. You can revoke location access in your device settings.
- Contacts: If you grant access, we use your contacts to help you quickly fill in recipient or sender phone numbers when sending or receiving a package. We do not upload your contact list to our servers for purposes other than this in-app assistance.
- Calendar: If you grant access, we save event tickets to your calendar so you can add them to your schedule and receive reminders. We do not read or use your calendar for other purposes.
- Orders and transactions: Order details, delivery addresses, payment method (e.g. mobile money, card), transaction IDs, and related history to process orders, handle refunds, and prevent fraud.
- Push notifications: We use your device token to send order updates, delivery status, and promotional messages (where you have agreed). You can disable push notifications in device or app settings.
Payment data: Sendit does not store full card numbers or full card details on our systems. Card payments are processed by trusted third-party payment processors (e.g. mobile money providers, card gateways) in accordance with their own security standards and applicable regulations. We only receive and store information needed to complete or support the transaction (e.g. transaction ID, last few digits, or payment method type) where relevant for your account and support.
3. Sendit Rider App – Additional Data
When you use the Sendit Rider app, we may also collect and use:
- Location (including background): We collect your location when the app is in use and, if you grant “always” access, in the background during active deliveries. This is used to navigate to pickup and delivery points, assign you to nearby deliveries, and provide real-time tracking to customers. You can change location permissions in your device settings; limiting access may affect your ability to receive or complete deliveries.
- Identity and vehicle: Name, photo, ID documents, vehicle type and details, and related information for registration, verification, and display to customers and vendors.
- Delivery and earnings: Delivery history, earnings, shift records, and performance-related data for payments, disputes, and quality and safety purposes.
- Camera and photos: If you use the app to take delivery proof photos or set a profile photo, we receive and store those images as needed for the service and for dispute resolution.
- Push notifications: To send you new delivery assignments, order updates, and important account or safety messages.
4. Sendit Vendor App – Additional Data
When you use the Sendit Vendor app (restaurant or event organizer), we may also collect and use:
- Location: If you allow it, we use your location to set your restaurant or venue address on the map so customers and riders can find you. We do not track your location in the background for the vendor app.
- Business and profile: Business name, address, contact details, menus, event details, ticket types, prices, images (e.g. logos, event covers, menu items), and bank or payout details for payouts and display on the platform.
- Orders and events: Order details, order status, event attendance and ticket validation data, and related analytics to operate the service and support you.
- Camera and photo library: If you use the app to scan event tickets or upload images (e.g. menu items, event covers, profile), we process those images only for the stated features.
- Push notifications: To send new order alerts, event updates, and important account messages.
5. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Services (e.g. matching orders to riders, processing payments, displaying your business or delivery status).
- Authenticate you and manage your account.
- Communicate with you (e.g. order and delivery updates, support, and, where permitted, marketing).
- Detect and prevent fraud, abuse, and safety issues.
- Comply with legal obligations and enforce our Terms.
- Analyze usage and trends to improve the app experience and develop new features (where possible in aggregated or de-identified form).
We process your personal data on the following bases: (1) your consent where you have given it (e.g. for marketing or optional features); (2) performance of a contract so we can provide the Services you request; (3) compliance with legal obligations (e.g. tax, regulatory, or law enforcement); and (4) legitimate business interests such as safety, fraud prevention, security, and improving our Services, where these are not overridden by your rights.
6. Sharing Your Information
We may share your information:
- With other users as needed for the service: e.g. customers see rider location and name during delivery; riders and customers see vendor and order details; vendors see rider and order information.
- With service providers: Payment processors, cloud hosting, analytics, and support tools that help us run the Services, under contracts that limit their use to providing services to us.
- For legal and safety reasons: When required by law, to protect rights and safety, or to enforce our Terms.
- We do not sell your personal information to third parties for their marketing.
7. International Data Transfers
Some of our service providers (e.g. cloud hosting, analytics, or support tools) may store or process personal data outside Ghana. Where we do so, we use reasonable safeguards to protect your data, such as contracts that require appropriate security and confidentiality. By using our Services, you acknowledge that your information may be transferred to and processed in other countries for the purposes described in this policy.
8. Security and Retention
We use technical and organizational measures to protect your data (e.g. encryption in transit, access controls). No system is completely secure; you are responsible for keeping your account credentials safe.
We retain your information for as long as your account is active or as needed to provide the Services, resolve disputes, comply with law, and enforce our agreements. For example: transaction and order records may be kept for accounting, tax, or legal requirements; records related to disputes or fraud may be retained until the matter is resolved; and some data may be retained for a limited period after account deletion where required by law or for legitimate purposes such as dispute resolution or safety.
9. Data Protection Compliance (Ghana)
Sendit is registered with the Data Protection Commission (DPC) of Ghana and handles personal data in accordance with applicable data protection laws, including the Data Protection Act, 2012 (Act 843). If you have questions or concerns about how we process your data, you may also contact the DPC.
10. Your Choices and Rights
You may:
- Update your profile and preferences in the app.
- Control location, contacts, calendar, camera, and notifications via your device settings.
- Opt out of marketing and promotional messages at any time via the app or by contacting us; promotional communications are optional and you can unsubscribe without affecting core service messages (e.g. order or delivery updates).
- Request access, correction, or deletion of your personal data by contacting us; we will respond in line with applicable law.
- Delete your account through the app or by contacting support; note that some information may be retained where required by law or for legitimate business purposes (e.g. dispute resolution).
Where we use analytics or usage data to improve our Services, we use aggregated or de-identified information where possible so that it does not identify you personally.
11. Children
Our Services are not directed at children under 18. We do not knowingly collect personal data from children. If you believe we have collected data from a child, please contact us so we can delete it.
12. Changes and Contact
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the “Last updated” date. Continued use of the Services after changes constitutes acceptance.
For questions about this policy, to exercise your privacy rights, or to report a concern, contact us at [email protected], or through the support options in the app or on our website.
